Short answer: a school-level engagement starts at $2,500 for a two-week audit. A single working workflow runs $6,000 to $9,000. A department-wide rollout of three to four workflows runs $18,000 to $30,000.
Everything below explains what those numbers include, what moves them, and what a school should actually budget for a first year. Every price on this page is per school and per engagement. There is no per-teacher fee, no seat count, and no annual license.

What drives the cost up?
Within the ranges above, these are the factors that push an engagement toward the top end.
- Older or closed SIS integrations. A system with a clean API is straightforward. A system that requires file exchange, screen scraping, or a vendor ticket to enable access adds real engineering time.
- Messy source data. If contact records are inconsistent, rosters live in three places, or home-language fields are half empty, cleanup is part of the build.
- Languages beyond English and Spanish. English and Spanish are standard on communication workflows. Each additional language includes native-speaker review and validation, which is a real cost and the reason the language is trustworthy enough to send home.
- Multiple approval layers. A workflow where a teacher approves is simpler than one where a teacher, a department head, and an administrator each approve at different thresholds.
- Compliance paperwork. A district data privacy agreement, a state-level addendum, or a security review adds time before any code is written.
- Many small edge cases. Workflows with a dozen legitimate exceptions cost more than workflows with two, because each exception needs a defined path.
- On-site delivery. Most work runs remotely. On-site training or discovery adds travel.
What brings the cost down?
- Google Workspace already in place. Most schools run it, and it removes a large amount of integration work.
- One clearly painful workflow. A school that already knows its worst bottleneck often finishes the pilot toward the lower end of the range.
- A decision-maker who can approve. Engagements that stall waiting on committee cycles cost more in elapsed time and scope drift.
- An IT contact who can grant access. Waiting on system access is the most common source of delay in a pilot.
- Starting with one department. Proving the pattern in one place is cheaper than negotiating it everywhere at once.
- Reusing the architecture. The second and third workflows cost less than the first, because the de-identification layer, approval gate, and logging are already built. This is why a rollout of four workflows is not four times a pilot.
What should a school budget in year one?
Most single schools invest $8,500 to $12,000 in year one. That is the audit plus one pilot workflow, which is enough to prove whether this works in your building and to bank real hours back for one team.

If your budget for the year is below $8,500, the honest answer is to start with the audit alone and build in the following cycle. The roadmap is useful on its own, and it makes the next budget request specific instead of speculative.
What does it cost to run after the project ends?
Three running costs, and none of them is a ClassroomOps license.
- AI model usage. Billed by the model provider directly to your school on your own account, based on volume. For scale: in our own grading demo, a batch of twenty full essays scored against a rubric costs roughly $0.38 in model usage. Your actual monthly figure depends on volume and is estimated during the audit against your real numbers.
- Existing subscriptions. Google Workspace, your SIS, and your communication platform. You already pay these, and nothing here adds to them.
- Maintenance. After the 90-day support window, most schools handle changes with their own IT staff using the handover documentation. Where a school prefers ongoing support, that is quoted as a separate engagement rather than assumed.
There is deliberately no recurring platform fee. ClassroomOps sells engineering work, not a subscription, and the systems built belong to your school.
Why is this priced by engagement rather than per student or per teacher?
Because the work does not scale with headcount. Building an attendance follow-up workflow takes the same engineering whether it serves 40 teachers or 400. Per-seat pricing makes sense for software companies recovering platform costs across customers. It makes no sense for project work, and it would quietly penalize you for growing.
It also makes budgeting easier. An engagement is a line item with a fixed or bounded number, which is a very different conversation with a board than an annual per-student cost that rises with enrollment.
Planning at the district level?
District engagements start the same way a single school does, with the $2,500 audit. At district scale the audit also answers which building is the right one to pilot in, what your SIS and identity infrastructure will support across sites, and what your existing board policy already permits.
From there, districts typically pilot one workflow in one school at $6,000 to $9,000 before scaling anything. This is deliberate. A pilot that fails in one building is a lesson. The same failure rolled out to twelve buildings is a procurement problem that follows you into the next budget cycle.
Pricing beyond the rollout tier is scoped per district, after the audit. The variables that actually determine the number are the number of schools involved, which systems each one runs, how consistent the data is across sites, and what data privacy agreements or state addenda your district requires. Publishing a district price before knowing those would be a guess, and you would find out it was a guess during implementation.

The engagements on this page are priced for a building or a district, and they involve connecting to your SIS, agreeing data handling with your IT director, and training a team. None of that is a sensible purchase for one classroom, and we would not sell it to you.
For personal classroom use, excellent low-cost AI tools already exist and are built specifically for individual teachers. Several are free or under a few dollars a month. That market is well served, and you should use it.
But there is a version of this that is worth flagging. If the manual work in your building feels like a systems problem rather than a personal one, that is a different situation. Hours of grading across a whole department. Parent communication that never reaches the families who need it most. Attendance follow-up that three people touch by hand. Those do not get solved by any individual teacher working harder or buying a better personal tool. They get solved at the level of the school.

Common questions about cost
Do you offer a version for individual teachers?
No. ClassroomOps builds school-wide systems, and there are already good low-cost AI tools made specifically for individual classroom use. If the manual work in your building is a systems problem rather than a personal one, forward this page to your principal or department head, because that is the level where it gets fixed.
What if our biggest time sink is not one of the three services listed?
Then the audit finds it and the pilot builds it. The services pages describe the most common entry points, not a menu. The audit exists precisely to locate the highest-return workflow in your building, whatever it is, and pilots are scoped to that. Attendance letters, IEP meeting prep, substitute coordination, and enrollment intake have all been the answer.
Can we start with something smaller than the audit?
The audit is the smallest engagement offered, and it is deliberately priced so that a school can say yes without a board vote in most cases. A first conversation costs nothing and takes about 30 minutes. If that call makes it clear an audit is not worth your money, you will be told.
What if the audit says we should not automate anything?
Then that is what it says, in writing, with reasons. It has to be a real possible outcome or the audit is not worth buying. You would have spent $2,500 to avoid spending $25,000 on something that would not have worked.
Is the audit fee really credited?
Yes, against a rollout that proceeds. It is credited once, and it applies to the rollout engagement rather than to a pilot.
Do you charge for the systems after handover?
No. There is no license and no renewal. The workflows run inside your infrastructure and belong to your school. The only ongoing cost tied to the work is model usage, billed to you directly by the provider.
How is payment structured?
The audit is invoiced as a single fixed fee. Pilots and rollouts are invoiced in stages tied to delivery milestones rather than in advance. Purchase orders and standard district payment terms are accommodated.
What is not included in these prices?
Model usage billed by the provider, any new subscriptions you choose to add, travel for on-site work, and support beyond the 90-day window on a rollout. Nothing else is added later. If an engagement needs to grow in scope, that is a conversation before the work, not an invoice after it.
